What Link My Books does with an Amazon settlement
Link My Books imports each Amazon settlement, groups its transactions into categories, and posts one summary to Xero or QuickBooks Online that matches the Amazon deposit. That is the job an Amazon seller needs done: Amazon pays a net amount after fees, refunds and reserves, and the books need the gross figures behind it. Our guide to the Amazon records you need explains the reports involved.
The vendor says it supports all Amazon marketplaces and needs read-only access to your seller account. One connected Amazon region covers every marketplace in it, so a North America connection brings in the US, Canada and Mexico.
How fees, reserves and deferred payments are split out
The help center says Amazon has hundreds of transaction types. Link My Books groups them into 11 top-level categories and, if you accept its defaults, creates one account for each in your chart of accounts.
| Category | Account type |
|---|---|
| Amazon Sales | Revenue |
| Amazon Refunds | Revenue |
| Amazon FBA Inventory Reimbursements | Other income |
| Amazon Seller Fees | Expenses |
| Amazon FBA Fees | Expenses |
| Amazon Storage Fees | Expenses |
| Amazon Advertising Costs | Expenses |
| Amazon Sales Tax | Current liability |
| Amazon Loans | Current liability |
| Amazon Reserved Balances | Current asset |
| Amazon Split Month Rollovers | Current asset |
A settlement that crosses a month end is split by calendar month. Deferred transactions are handled by a paid add-on, which the Xero App Store listing prices at $20 a month. A second $20 add-on separates Multi-Channel Fulfillment fees.
How Link My Books handles US sales tax on Amazon
The help center lists Tax Exempt as the default tax rate on every Amazon category for US businesses. Link My Books puts sales tax collected and sales tax withheld into a single Amazon Sales Tax account. The help center says that where a seller holds no sales tax permits and Amazon collects and remits the tax itself, the two sides cancel and the account should show a nil balance.
For a seller who holds permits, the same article says the account carries the sales tax owed and that payments can be posted against it. It states one limit plainly: the sales tax category is not split by state, so a seller with several permits would need something like TaxJar to calculate and file. That is the vendor's description of its software, not tax advice. Link My Books states that its team are not tax advisors and recommends asking a qualified accountant.
Which plan fits by order volume, with a worked example
| Orders a month | Plan | Price |
|---|---|---|
| Up to 200 | Starter 200 Lite | $24 |
| Up to 500 | Starter 500 Lite | $35 |
| Up to 1,000 | 1K Lite | $47 |
| Up to 2,500 | 2.5K Lite | $56 |
| Up to 5,000 | 5K Lite | $68 |
| Up to 10,000 | 10K Lite | $112 |
Worked example: [your business] ships about 800 Amazon.com orders a month through one North America seller account. One account is one sales channel, so Lite applies, and 800 orders fall in the 1,000 tier: $47 a month, or $564 over twelve months. Adding the deferred payments add-on makes it $67 a month, or $804 over twelve months.
Two changes would move the price. If the rolling order average passes 1,000, the vendor emails you and upgrades you seven days later to 2.5K Lite at $56. If you connect a second channel, such as a Europe account or a Shopify store, you need Plus, which is $55 a month at 1,000 orders. Downgrades are manual. The cost worksheet lets you run your own numbers.
Limits that matter to Amazon sellers and the alternatives
- History: Lite includes 3 months. Older settlements are a one-off purchase priced on request, or need a higher tier.
- State sales tax: no state-by-state split, as described above.
- Xero Early: capped at 20 invoices and 5 bills a month, and the help center says each settlement uses one invoice or bill.
- Summaries only: the ledger gets one entry per settlement, not one per order.
For the edge cases, name the need first. A seller who wants each Amazon order in the ledger with SKU detail should look at Synder, which offers a per-transaction mode from $65 a month on monthly billing. A seller who keeps books in Wave should look at Taxomate, from $14 a month. A seller on NetSuite should look at A2X, whose Amazon plans start at $29 a month for up to 200 orders. If you sell on more than Amazon, read the multichannel guide before choosing a tier.
