Identify the payment service first
An order being in Shopify does not establish which provider pays it out. Confirm that this record is Shopify Payments rather than a third-party gateway. Record the payout reference, currency, status and transaction period before comparing it with the bank.
Read status literally
Shopify’s guidance distinguishes payout processing and possible bank-arrival delays. A displayed payout is not proof that a bank has credited it. Review the exact status and any failure information in the official account. Do not promise a universal number of days: country, account and bank circumstances can differ.
Connect the transaction population
Use the payout’s own transaction detail to explain its amount. A calendar-month order total can contain activity that belongs to another payout or payment provider. Capture dates and time-zone settings are particularly important near period boundaries. Write a note explaining why the two populations differ before making any adjustment.
Handoff for a missing amount
A useful support or bookkeeping handoff contains the reference, status, expected destination and what has actually been checked. Keep account numbers private. If the status is failed, investigate that specific failure through the authorized account route; do not change bank details based on an unexpected email.
