Link My Books connects to Xero directly, with no middleware
Link My Books has a direct Xero integration: you sign in with your Xero account, authorize the connection, and settlements post through the Xero API with no Zapier or Make step. The Xero App Store has listed it since March 2019. Every Link My Books plan includes the integration, starting at $20 a month for up to 15 orders on one sales channel, billed monthly, as read on 3 October 2026.
On the Xero side, the Link My Books pricing page says it supports all Xero regions and all plans except Cashbook. The lowest Xero plan has limits that matter here, covered below.
What Link My Books sends to Xero and what it reads
- Reads: your chart of account names and your list of tax rates, which then appear on its mapping page.
- One invoice per settlement: broken down by the accounts and tax rates you chose, with the settlement audit report attached.
- A bill instead of an invoice when the settlement total is negative, because Xero does not allow negative invoices.
- Two or more invoices when a settlement crosses a month end. Earlier parts total zero and the last part carries the full payout.
- New accounts in your chart of accounts, if you accept its defaults in the wizard.
- Tracking categories, if you switch tracking on, so reports can be split by marketplace.
- Foreign currency settlements in their original currency. The Xero listing says this needs a Xero plan with multi-currency.
Setup steps in order
- Start the 14-day trial by signing in with your Xero account.
- Authorize the Xero connection when Xero asks you to.
- Connect a sales channel, such as Amazon or Shopify, and approve access on that channel.
- Complete the Accounts and Taxes wizard: accept the default accounts and tax rates or map your own.
- Review the first settlement and send it to Xero.
- Find the deposit in the Xero bank reconciliation screen and match it to the invoice.
- Optionally turn on auto-post under Settings, Settlement Settings, Automation, with a start date.
The Xero listing puts setup at about 15 minutes. One documented mistake to avoid: the help center says the connection and wizard steps should be completed in a single session, because abandoning them partway can leave the account in a state where Account Settings will not load. Xero's US pricing page showed promotional pricing on 3 October 2026, so this page quotes no Xero price; check the current price on Xero's site.
Link My Books lets you send unlimited settlements, but each one uses a Xero invoice or bill slot, and the Link My Books help center says Xero counts invoices and bills created by connected apps. A split-month settlement uses two. So a store that is paid out every business day can create more than 20 invoices in a month and hit the Early cap, while an Amazon account that settles every two weeks stays well under it. The cost of goods sold feature also creates bills, which count against the bill limit.
Auto-post has its own behavior. Settlements are sent in batches of 5 to 10 every 10 minutes to stay inside Xero's rate limits, so posting is not instant. After four failed attempts a settlement stops retrying and has to be sent by hand.
What to check in Xero after the first settlement
- The invoice total equals the bank deposit to the cent.
- Sales, refunds, fees and tax lines sit in the accounts you mapped.
- Zero-total invoices from split months show as paid.
- Negative settlements appear under bills, not invoices.
- Foreign currency invoices follow the separate foreign currency reconciliation steps.
If a settlement posted with the wrong mapping, Link My Books has a rollback that removes the entries it posted so that you can resend. Use it deliberately: it deletes those entries from Xero.
