Link My Books QuickBooks Integration: What It Posts, Setup Steps and Limits

Quick answerLink My Books connects directly to QuickBooks Online and posts one journal entry per settlement. QuickBooks Desktop and Self-Employed are not supported, and classes need QuickBooks Plus or Advanced.

Link My Books works with QuickBooks Online only

Link My Books connects directly to QuickBooks Online and posts each settlement as a journal entry; it does not work with QuickBooks Desktop or QuickBooks Self-Employed. The connection is native: you sign in with your QuickBooks account and approve access, with no middleware. Every Link My Books plan includes it, from $20 a month for up to 15 orders on one sales channel, billed monthly, as read on 3 October 2026.

The help center adds one restriction worth checking before you start. It says a sole proprietorship can use Link My Books only with the Simple Start plan, while an LLC or other limited company can use Simple Start, Essentials, Plus or Advanced.

What Link My Books posts to QuickBooks Online

  • Reads: your chart of account names and tax rates, for the mapping page.
  • One journal entry per settlement: split across the accounts and tax rates you mapped, with the settlement audit report linked to the entry.
  • A payout line to your bank account. Because a journal must balance, the net payout is posted to the bank account you assign for that marketplace, and a negative settlement is posted to the card account you assign.
  • One entry per calendar month when a settlement crosses a month end.
  • New accounts in your chart of accounts if you accept the wizard defaults.
  • Classes on each line, if you enable them, so you can run profit and loss by channel.

Unlike the Xero connection, Link My Books does not add a missing currency for you. The help center says currencies have to be added in QuickBooks by hand.

Setup steps in order

  1. Start the 14-day trial by signing in with your QuickBooks account. The vendor says no credit card is needed.
  2. Connect your sales channel and approve access. For Amazon you name the account and choose the region first.
  3. Approve the QuickBooks connection when you are returned to Link My Books.
  4. Complete the Accounts and Taxes wizard, accepting the defaults or mapping your own accounts.
  5. Assign the QuickBooks bank account and card account for each marketplace under Accounts and Taxes, QuickBooks Bank Accounts.
  6. Review and send the first settlement, or turn on auto-post with a start date.
  7. In QuickBooks banking, match the deposit to the suggested journal entry.

Intuit's US pricing page showed promotional pricing on 3 October 2026, so this page quotes no QuickBooks price; check the current price on Intuit's site. Class tracking has to be switched on inside QuickBooks as well as in Link My Books, and the help center says classes apply only to settlements sent after you enable them.

Documented limits and what to check after the first journal

  • Matching window: the QuickBooks Find Match screen defaults to the last three months. For an older settlement, widen the date range or the journal will not appear.
  • Foreign currency payouts: QuickBooks may not suggest a match. The help center says to open Find Match and tick the foreign currency box.
  • Rollback errors: if a journal is already matched to a transaction in a different account, rollback fails. The documented fix is to delete the journal entry in QuickBooks yourself and ask support to mark the settlement as unsent. Deleting a journal removes it from your books, so confirm you have the right entry first.
  • Auto-post: settlements go in batches of 5 to 10 every 10 minutes, and a settlement stops retrying after four failed attempts.

After the first journal, confirm that its payout line equals the bank deposit and that fees and sales tax landed in the accounts you expect. The month-end pack lists the checks to repeat each month, and Xero users can read the Xero version of this page.
