What the calculator does
For each option, enter an annual software cost, one-time setup cost, monthly review hours and assumed hourly cost in the same currency. First-year cost is software plus setup plus twelve months of assumed review. Later-year cost excludes the one-time setup. The worksheet does not estimate revenue, tax, conversion rates or actual time saved.
Choose honest inputs
Use a current quote rather than a remembered starting price. Include necessary connected-software costs consistently on both sides or exclude shared costs from both. Keep the source and date of each assumption in your own notes. Unknown mandatory costs make the comparison incomplete.
Test a range
Review time is usually less certain than a subscription quote. Try plausible low and high values and see whether the preferred option changes. If a small assumption change reverses the result, do not present the result as a decisive saving. A controlled workflow evaluation can provide better evidence later.
Interpret the difference carefully
An option with a lower illustrative cost may still fail a required integration, control or history requirement. Check those first. Nothing entered here is stored or transmitted; use anonymous numbers only. The worksheet cannot authorize a purchase or an accounting change. Keep your current system when the evidence does not justify switching.
