Write the boundary in evidence terms
A start date is not enough. Identify the last settlement fully represented by the old workflow, any split settlement spanning the boundary and manual entries that already cover later activity. Have the accounting owner approve what the new workflow should include.
Verify available history before purchase
Link My Books documents plan- and channel-dependent historical access. Do not assume an upgrade can retrieve unlimited history or that every platform exposes the same period. Check the current channel limit, subscription terms and actual source availability for the dates you need.
Prepare a cutoff table
Use columns for source settlement, activity period, old-system posting, new-system inclusion and unresolved overlap. Keep personal data out of the table unless needed in an authorized system. Where a settlement crosses month end or a migration date, record all related portions rather than splitting it informally.
Accept coverage, not just import completion
After an authorized import, compare expected identifiers with observed records and explain missing or overlapping items. A progress bar reaching 100 percent does not prove the intended historical population was imported. Do not repeat an uncertain import without first establishing what it created.
