Use a connection register
List store or marketplace, legal entity, currency, payment service, accounting destination and responsible owner in your private records. Two stores on one platform are not automatically one connection, and one store can use more than one payment service. Confirm the product’s current connection definition before choosing a plan.
Reconcile before consolidating
A combined dashboard is useful only when its components are understandable. Review settlement-level evidence first, then combine comparable periods and currencies for the reporting purpose. Do not offset an unexplained positive balance from one store against an unexplained negative in another to claim that the portfolio reconciles.
Name files for retrieval
An original naming pattern such as entity–channel–currency–settlementID makes a handoff easier than “September final final.” Preserve the provider’s original identifier inside the file or cover note. Avoid customer names, credentials and bank details in public filenames.
Define exceptions and ownership
If a connection is paused, importing history or awaiting source data, mark that status before interpreting an incomplete consolidated total. Assign the next action to the person who controls that account.
